Privacy Policy

General information

This privacy policy explains the nature, scope and purpose of the processing of personal data (hereinafter, ‘data’) within the context of our web presence and the websites, features and content associated with it, as well as external websites such as our social media profiles (hereinafter referred to collectively as ‘web presence’). With regard to the terms used in this policy, such as ‘processing’ and ‘controller’, we would draw your attention to the definitions listed under Article 4 of the General Data Protection Regulation (GDPR).

• Responding to contact requests and communicating with users.

Establishing contact

When a customer gets in contact with us, such as through a contact form, by e-mail, by telephone or via social media, the customer’s data shall be processed in order to register and process the contact request. The user’s data may be stored in a customer relationship management system (“CRM system”) or comparable systems. We shall review whether storing this data is necessary at regular intervals and delete it if it is no longer required. Statutory archiving obligations shall also apply.

Newsletters

We shall only send newsletters, e-mails and other electronic notifications featuring advertising information (hereinafter, ‘newsletters’) with the recipients’ consent or the authorisation to do so within as part of service delivery. We log subscriptions to the newsletter in order to verify the subscription process according to legal requirements. This involves storing details of sign-up and confirmation times, as well as the IP address. Changes made to the data stored by the newsletter service provider shall also be logged.

 

Cancellation/revocation – you are entitled to cancel your subscription to our newsletter at any time, or in other words, revoke your declaration of consent. You can find a link to cancel the newsletter at the end of every newsletter. We may store e-mail addresses for up to three years before deleting them on the basis of our legitimate interests, in order to prove that consent was previously provided. You may submit an individual cancellation request at any time.

 

Our newsletter is sent out by our newsletter service provider, Hubspot. You may consult our newsletter service provider’s privacy statement here. The newsletter service provider is appointed on the basis of our legitimate interests pursuant to the GDPR and a data processing agreement.

Google Analytics & Adwords

We use the services of Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, US, (‘Google’) on the basis of our legitimate interests (our interest in the analysis, optimisation and efficient operation of our websites and profiles within the meaning of the GDPR). These include the services Google Analytics and Google AdWords in particular. Google is certified under the Privacy Shield agreement and thus guarantees compliance with European data protection law.

 

We use Google Analytics to display advertisements placed by Google’s advertising services and partners exclusively to users who have shown an interest in our web presence or have particular characteristics, such as an interest in particular topics or products as determined on the basis of the web pages they have visited, and which we then forward to Google (so-called ‘remarketing’ or ‘Google Analytics audiences’). We also like to use remarketing audiences to ensure that our advertisements match users’ potential interests.

 

We use Google ‘AdWords’ to place advertisements within the Google advertising network, such as in search results, in videos and on websites. This allows us to display more targeted advertisements for our web presence in order to only present users with advertisements that they will potentially be interested in. We also receive a unique ‘conversion cookie’. The information obtained from of cookies helps Google to create conversion statistics for us. However, these statistics only show the total number of users who have clicked our advertisement in an anonymised form. We are not given any information that could be used to establish the identity of users. User data is processed in a pseudonymised form within the context of the Google advertising network.

HubSpot

We use HubSpot for our online marketing activities. This is an integrated software solution that covers various aspects of our online marketing.

 

These include:
• Content Management (website and blog)
• Email marketing (newsletter as well as automated mailings, eg for the provision of downloads)
• Social Media Publishing & Reporting
• Reporting (e.g. traffic sources, traffic, etc ...)
• Contact management (e.g., user segmentation & CRM)
• Landing pages and contact forms

 

Our sign-up service allows visitors to our site to learn more about our business, download content, and provide their contact information and other demographic information. This information and the contents of our website are stored on servers of our software partner HubSpot. They can be used by us to connect with visitors to our website and to determine what services our company is interested in. All information we collect is subject to this Privacy Policy. We use all information collected solely to optimize our marketing.
